Introduction to Workflows

Overview

Workflows are central to the Wiv.ai platform. They consist of Steps that work together to handle data - from extraction and transformation to processing and organization, as well as executing commands.

Our workflows fall into these categories:

  1. Inform Workflows - Create cases based on automation results
  2. Remediation Workflows - Process and take action on existing cases
  3. Reports Workflows - Generate scheduled reports covering areas like anomalies, trends, financial data, and case status

However, workflows aren't limited to these types. The platform adapts to your specific needs, allowing you to create workflows for various purposes - whether it's managing IT licenses and off-boarding/onboarding process through REST APIs, creating automated ownership databases based on your business rules, or orchestrating your environment (such as scheduling dev infrastructure shutdown on weekends).



Navigating and Organizing Workflows

  • The Workflows page contains all the workflows in a specific Space.
  • You can either review All Workflows, or arrange them in folders. 
  • To create a folder, simply click on the Add Folder button in the navigation bar



Creating Workflows

There are several ways to create a new workflow

  1. Create a new workflow using the New Workflow button in the Workflows page
    1. A "Copilot AI" feature (in BETA) that offers to create automated workflow processes via prompts
    2. Blank workflow that you can start building on your own
  2. Import a workflow from our Templates page 
  3. Clone a System Workflow (SWF)



Managing Workflows

There is a lot of information about a workflow we can control, and should be aware of. 

  • Workflow Name - A unique name to identify the workflow
  • Workflow Id - Used for support purposes
  • Trigger Type - Manual, Scheduled, or Event Based
  • Created By - The Wiv.ai user that created the workflow 
  • Runs - highlight on the last workflow executions and the statuses
     
  • Creation Time - When the workflow was created
  • Last Updated - When the workflow was last updated 





Labels and Versions

Workflow Labels

You can add labels to a workflow by pressing the 3 dots menu and selecting Edit


Labels let you attach extra metadata to workflows to identify their operational domains

Workflow Versions

Every workflow maintains a history of changes since its last update. You can view these changes in the workflow editor beside the workflow name. For easier tracking and potential rollbacks, we suggest marking working versions as 'Final'. To see versions, open your workflow in the workflow editor and look at the upper left corner of the editor screen. 


To rename a version, double-click it and type in your new version name




To restore a version, select the relevant version, and click on Restore this version
